Roles & Permissions Administration Guide 

Managing User Access and Data Security in Amiio We have introduced a new permissions system that gives you more control over user access in the platform. With permissions, you can manage who can view specific information and who can perform certain actions. This helps ensure that each user has the right level of access based on their role and responsibilities. Here is a quick overview of how it works.

1. How Access Works: Roles and Scopes

A user’s access in Amiio is determined by two main settings:

  • Functional Role: Defines what actions a user can take across the platform (such as editing content, running workflows, or changing settings).
  • Data Scope: Defines where the user can take those actions. It limits their access to specific Portfolios, Entities, or individual Properties.

Editing permissions are strictly governed by your Data Scope.

This ensures that users can only view or modify information within their assigned portfolios and properties.

2. Platform Roles

Amiio offers three standard user roles designed to match your operational structure:

I. Organization Administrator (Org Admin)

The highest administrative level. Org Admins manage organization-wide settings, set company preferences, and configure shared tools-such as global reporting templates and platform layouts.


II. Editor

The standard role for daily operational users, asset managers, and analysts. Editors can create and change content, update asset profiles, manage tenant information, and adjust business plan assumptions within their assigned Data Scope.

III. View Only

A read-only role optimized for external partners, joint-venture stakeholders, and investors. View-only users can look at financial data, interact with dashboards, use Amiio AI features, and export PDF or CSV reports. However, they cannot make any changes or edits to the data.

4. The Rules Behind System Access

To keep your data secure, Amiio automatically verifies every action. A user can only see a data point or complete an action when all of the following conditions are met:

  1. The user belongs to the registered organization.
  2. Their assigned Role allows them to perform that specific action.
  3. The specific Entity or Property is included in their assigned Data Scope.
  4. The feature is active for their organization.

If any of these conditions are not met, access is instantly denied. This security logic applies everywhere-including the user interface, background APIs, and Amiio AI features.


5. Account Setup and User Management

During this initial phase, Amiio handles account setup directly to ensure security and data accuracy:


  • Creating or Modifying Accounts: To add a new user, change someone's role, update their property scope, or remove access, please contact the Amiio Support Team through the support portal.

  • Administrative Controls: Designated Org Admins can still manage high-level settings, layout templates, and reporting preferences directly within the platform at any time without needing engineering help.
